University Vehicle Driving Policy

To fulfill insurance requirements, the University must perform driver’s record checks on:

  • Drivers who need to drive an IWU-owned fleet vehicle
  • Drivers who need to transport IWU students, faculty, or staff in a personal vehicle on University-related business.
  • Be advised, the approval process to drive University vehicles will require a background check, online course completion, and an in-person familiarization and drive-around session. Starting this process as early as possible, will ensure you can be approved in time for your traveling needs.

Approval Processes:

  • To Drive Personal Vehicles on University Business:
     
    • Only necessary if transporting multiple people on University business, or if requesting reimbursements for use of personal vehicle on University business.
    • Contact Campus Safety with your request at least one week in advance if possible. You can come to the Campus Safety office during business hours, or you can email us at: campus-safety@iwu.edu. In the subject line, please write “MVR Request.”
    • You will receive a link to an online background check form. Please fill this out and submit it promptly.
    • You will receive email notification when your driver’s record check is complete.
  • To Drive University Fleet Vehicles (Passenger Vans, Trucks, etc…)
  • Contact Campus Safety with your request at least one week in advance, and preferably 2+ weeks in advance if possible. You can come to the Campus Safety office during business hours, or you can email us at: campus-safety@iwu.edu. In the subject line, please write “MVR Request.”
  • You will receive a link to an online background check form. Please fill this out and submit it promptly.
  • You will receive links for an online course, please complete the course promptly.
  • After the online course and background checks are completed, Campus Safety will contact you to schedule your onsite familiarization and drive-around session.
  • After completing the onsite familiarization, you will be approved to drive University vehicles.
  • Please Note: Due to insurance requirements, individuals under 20 years of age are not permitted to drive University-owned vehicles, irrespective of favorable driving records.
